WHY THIS PRIVACY STATEMENT?

At Verbindion we attach great importance to your privacy and to the protection of your personal data. In this privacy policy we explain which data we collect, what we do with it, how we handle your data and how long the data is kept. You will also find here how you can influence the processing of your personal data by Verbindion. Verbindion naturally handles your personal data with the utmost care and complies with the laws and regulations on the protection of personal data.
Because we are a dynamic organisation in a fast-moving environment, it is important that we update our privacy statement from time to time. We therefore reserve the right to amend this privacy statement at any time. You will always find the most up-to-date version on our website. In the event of fundamental changes we will also always send an update to the email addresses we hold.

WHICH PERSONAL DATA DO WE PROCESS AND HOW LONG IS IT KEPT?

Verbindion processes personal data for taking out swimming lessons and swim passes, taking part in one of our activities, using a room within our sports complex, visiting the website or responding to our social media posts, and for the newsletter. For this we need personal data from you. Under the GDPR, personal data is “all information about an identified or identifiable natural person”. This therefore covers all data that can be traced back to you directly or indirectly. We keep your data for as long as is necessary to achieve the purposes for which we process it, and no longer than is legally permitted. The final retention period differs per type of personal data.

VISITORS TO SPORT- & EVENEMENTENCOMPLEX MERWESTEIN

For all visitors to our Sport- & Evenementencomplex, we may record video footage inside and around our premises. The footage is recorded for your safety and ours. The footage is deleted after seven days, unless there has been a suspicious incident. In that case the footage is stored separately and kept for up to two months.

DATA OF OUR REGULAR VISITORS

When you take out swimming lessons and/or a swim pass we process your name, address, town or city, telephone number, email address, bank account number (including the account holder’s name), gender and date of birth. In a number of cases we also process city pass numbers, the U-pas number, the confirmation number from Stichting Leergeld, the validity period of a new swimming lesson card, the number of outstanding lessons, the skill level and your financial status with Verbindion (services and products purchased and whether these have been paid for). A group photo is taken of those who have obtained their diploma. In the case of children up to and including the age of 16, the parent/guardian must give permission.
The data for the swimming lessons is kept for up to seven years after the last swimming lesson. The group photo taken after the diploma test is kept for two weeks.

PARTICIPANTS IN ACTIVITIES

When you take part in Verbindion’s activities we process your name, address, town or city, telephone number, email address, date of birth, gender and, where applicable, video and photographic material. In a number of cases we also process specific medical data (such as whether you are over- or underweight, have diabetes, etc.), height, weight, whether you are a member of a sports club and any other information you have provided to the neighbourhood sports coach. The data is kept for up to five years after you last took part.

PEOPLE WHO HIRE A SPACE FROM VERBINDION

If you would like to use one of our spaces for a company outing, sports tournament or party, we process your name, email address, telephone number, the company/organisation you work for, bank account number, a copy of your proof of identity, signature and any further information you provide to our staff. In a number of cases we also process your vehicle registration number and the card number used. For children’s birthday parties we also process the age the birthday child is turning. The data is kept for up to seven years after the space was last used.

DATA OF OUR WEBSITE VISITORS

Personal data is also processed for visitors to our website. This concerns personal data that you enter yourself on, among other things, the contact page or the registration form, such as your email address, name, address, town or city or a telephone number. We also place functional cookies to make our website work better. Through Google Analytics we collect anonymised data about the use of the website. These cookies may be placed without your prior consent. Would you like to delete the cookies before the end of the retention period? You can do so by deleting the cookies via your browser settings.

JOB APPLICANTS

If you apply for a job at Verbindion we process your name, address, town or city, telephone number, email address, date of birth, place of birth, gender and all other data you provide during your application. This data is kept for up to one year after the date of your application so that we can contact you again should a new vacancy arise.

SOCIAL MEDIA POSTS

The data you enter yourself on social media, or that we collect as a result of your responses to social media posts, is processed by Verbindion. This may concern personal data that you enter yourself on, among other things, the contact page of the platform in question, such as your email address, name, address, town or city or a telephone number.

FOR WHAT PURPOSE DO WE PROCESS YOUR DATA?

SERVICE PROVISION

Verbindion processes your data in order to provide our services to you: to record the service purchased, to handle and answer questions and complaints, to draw up, send and collect invoices, and to communicate in the right language.

KEEPING YOU INFORMED

Verbindion processes your data in order to keep you informed, mainly by email (or in the occasional case by letter or telephone). You will also receive information about similar products and services from Verbindion, such as new activities. You can unsubscribe from these messages at any time.

MARKETING AND SALES ACTIVITIES

When you register, we ask whether you would also like to receive information about other types of products and services from Verbindion, products and services from third parties, and whether we may use your data to send you information aimed specifically at you through profiling. If you indicate that you do not wish to receive this information, you will not receive it. You can unsubscribe at any time and indicate or change your choice via the link provided for this purpose or via info@merwestein.nl. To be clear: we do not sell our members’ personal data to third parties for use in their direct marketing activities.

ANALYSES & (MARKET) RESEARCH

We may use your personal data to carry out research and analyses, with the aim of improving the services of Verbindion and its affiliated companies. We may also ask whether you would like to take part in a no-obligation customer or market survey so that we can improve our services. You decide for yourself whether you take part, by giving or withholding your consent.

REPORTING

Verbindion processes members’ data in order to carry out statistical analyses and produce management reports. Decisions are made on the basis of those analyses and reports, products and services are evaluated and campaigns are assessed for effectiveness. These reports contain no data about individuals but only information about particular groups, based on, for example, the number of new members, the neighbourhood participants come from, the number of participants and the age category.

CONTACT WITH VISITORS

If you contact us, or we contact you, by telephone, email, social media, chat or in any other way, your details are recorded. This allows Verbindion staff to see later that there has already been contact with you and what it was about, so that we can help you faster and better. Think, for example, of questions about our services, complaints, invoices and payments.

HOW DO WE HANDLE THE SECURITY OF YOUR DATA?

Verbindion takes appropriate technical and organisational security measures to protect personal data against, among other things, loss, destruction or damage, unauthorised access or any other form of unlawful processing of your personal data. We do this in part by taking physical and organisational measures such as access control, protecting every desktop with a user name and password, and authorisation management so that your data cannot be viewed by all Verbindion staff. Keeping software up to date and regularly testing our security measures are also part of this.

DOES VERBINDION USE THIRD-PARTY SERVICES WHEN PROCESSING DATA?

Verbindion uses services provided by other parties. This only happens after screening in the areas of security and privacy, and only once the company has signed an agreement on the use and protection of personal data. Activities involving third parties are: (online) marketing, market research, sending direct debit collections, advertising and analysing the effectiveness of advertisements, web analytics and applications/SaaS services used for recruitment and selection, the membership administration, customer service and marketing, our mobile app, telephone contact and banking.

DOES VERBINDION PROVIDE DATA TO THIRD PARTIES?

In principle, Verbindion does not provide or sell data to third parties. However, Verbindion may be obliged by law or regulation to process your personal data and/or provide it to third parties, for example when a competent authority such as the police requests this as part of a criminal investigation.

HOW CAN YOU INFLUENCE THE PROCESSING OF YOUR PERSONAL DATA?

The GDPR sets out a number of rights for data subjects. Everyone has the right to access, correct or supplement their personal data, to have it erased, to request a restriction of the processing and to have it transferred, and may object to the processing of their personal data. A brief explanation of the various rights follows below.

ACCESS TO DATA

You have the right to access your personal data and to receive a copy of it.

RECTIFICATION OF DATA

You have the right to have your personal data corrected if it is inaccurate and supplemented if it is incomplete.

ERASURE OF DATA

You can request that your personal data be erased, and this will be granted in the following cases: because the data is no longer needed for the purposes for which it was collected or processed, because you withdraw your consent, because you have objected to the processing, because the personal data has been processed unlawfully, or in order to comply with a legal obligation.

RESTRICTION OF THE PROCESSING

You have the right to request and obtain a restriction of the processing in a number of specific cases: during the period in which the accuracy of personal data is contested and is being verified; if the processing has proved to be unlawful but you nevertheless do not want the data to be erased; if Verbindion no longer needs the data but you still need it for a legal claim; and when you have objected to the processing and are still awaiting the response to that objection.

In effect, you are requesting that the personal data be flagged (temporarily locked) with the aim of restricting the processing in future.

OBJECTION TO THE PROCESSING

You always have the right to object to the processing of your data. This objection will always be upheld, unless the processing is necessary for the purposes of the legitimate interests of Verbindion or of a third party.

Where your personal data is processed for direct marketing purposes, you may always object to that processing, as well as to profiling that relates to direct marketing.
